We collect the following categories of personal information:

• Account data: name, email address, organisation name, password (hashed)
• Meeting data: agenda items, minutes, motions, votes, and attendance records you create within the platform
• Usage data: IP address, browser type, pages visited, and timestamps (for security and analytics)
• Billing data: payment method details processed securely through our payment provider; we do not store full card numbers

2. How We Use Your Information

We use personal information to:

• Provide and improve the BoardHive service
• Authenticate users and secure accounts
• Process subscription payments
• Send transactional emails (account confirmation, password reset, invoices)
• Respond to support requests
• Comply with legal obligations

We do not sell personal information to third parties. We do not use your data for advertising.

3. Data Storage and Security

Data is stored on servers located in Australia and the European Union. We implement industry-standard security measures including encryption in transit (TLS) and at rest. Access to personal data is restricted to authorised personnel only.

4. Third-Party Services

We use the following third-party services that may process personal data:

• Firebase (Google): real-time database and authentication
• Daily.co: video meeting infrastructure
• Payment processor: for subscription billing

Each provider operates under their own privacy policy and relevant data processing agreements.

We use session cookies essential for authentication. We do not use advertising or tracking cookies. You may disable cookies in your browser settings, but this will affect the functionality of the platform.

BoardHive is not directed at children under 16. We do not knowingly collect personal information from children.

We may update this Privacy Policy periodically. We will notify you by email before material changes take effect. The date at the top of this page reflects the most recent revision.
